Privacy Policy

This Privacy Policy explains how Takeoff Media collects, uses, shares, and protects personal data in connection with the India AI Creativity Challenge 2026 (“the Challenge”) and the Platform at school.takeoffprompt.ai. It forms part of, and should be read together with, the Challenge Terms & Conditions. Because the Challenge is designed for school students (all of whom are minors), this Policy is written with children’s data protection at its centre.

1. Who We Are & Key Definitions

1.1 Data Fiduciary: Takeoff Media, Takeoff Entertainment LLP with its address at Old No 15, New No 31, Rajamannar Street, T Nagar, Chennai 17, is the Data Fiduciary responsible for personal data processed for the Challenge.

1.2 “Registering Adult” means the parent or legal guardian of the participating student, or an authorised school representative (aged 18 or above) acting with parental/guardian consent, who registers the student, makes payment, and manages all communication.

1.3 “Student” or “child” means the participating school student (Classes 3–12), who is a minor under applicable law.

2. What Data We Collect

2.1 Data provided at registration (by the Registering Adult):

• Student’s first name, surname/full name (for the certificate), class/standard, school name, and city;
• The Registering Adult’s name, relationship to the student (parent/guardian/school representative), email ID, and mobile number;
• Category selection (Classes 3–5 / 6–8 / 9–12).

2.2 Data generated during participation:

• Prompts written by the student, AI-generated images, submission timestamps, and attempt history;
• Evaluation outputs: star ratings per parameter, recognition title, feedback text, and internal scores (never published);
• E-Certificates issued.

2.3 Payment data: payment status, transaction reference, amount, and date, received from our payment gateway. We do NOT collect or store card numbers, CVV, UPI PINs, or banking passwords; these are handled directly by the payment provider.

2.4 Technical data: device type, browser, IP address, and basic logs necessary for security, fraud prevention, and Platform operation. We use only essential cookies/session identifiers required to run the Challenge; we do not use advertising cookies on child-facing pages.

2.5 Data we deliberately do NOT collect: student photographs, government IDs of children, student contact details (email/phone), precise location, or biometric data. Participants are instructed not to include any personal information inside prompts or images; if such information is detected, we may remove or refuse the submission.

3. Children’s Data & Verifiable Parental Consent

3.1 We process a child’s personal data only with the verifiable consent of the child’s parent or legal guardian. Consent is captured at registration through the Registering Adult’s declaration and acceptance of the Terms & Conditions and this Policy, together with payment confirmation. Where a school registers students, the school confirms it has obtained and holds parental consent for each student, and must produce evidence of such consent on request.

3.2 We do NOT undertake tracking or behavioural monitoring of children and do NOT serve targeted advertising directed at children.

3.3 All communications (confirmations, results, certificates, support & other educational course related information of Takeoff Media) are sent only to the Registering Adult. We do not knowingly contact children directly.

3.4 The child’s data is used strictly for running the Challenge and is processed in a manner designed to avoid any detrimental effect on the well-being of the child.

3.5 Participant information may be used for communication regarding results, learning recommendations, future AI events, and updates from Takeoff Media and TakeoffPrompt.ai.

By participating in the India AI Creativity Challenge, participant through their parent/guardian/school representative acknowledge and agree that Takeoff Media may use challenge results to prepare aggregated statistics, insights, benchmarking reports, research findings, and marketing materials to promote AI literacy and educational outcomes. Such reports may include anonymised information such as score distributions, average scores, challenge performance, institution-wise participation (where applicable), and other non- personally identifiable insights. Takeoff Media will never disclose, publish, sell, or share the name, email address, phone number, prompt submissions, or any personally identifiable information of any participant without prior consent, except where required by applicable law. All published reports and statistics will be presented only in an aggregated and anonymised manner that does not identify any individual participant.

4. Why We Use the Data (Purposes) & Legal Basis

• To register the entry, assign missions, and operate the Challenge — based on consent given by the Registering Adult;
• To generate images via AI tools and evaluate submissions — consent;
• To issue results, feedback, and certificates in the student’s name — consent;
• To process payments and refunds, maintain accounts, and comply with tax law — legal obligation;
• To secure the Platform, prevent fraud and misuse, and enforce our Terms — legitimate use permitted under law;
• To respond to support queries and grievances — consent / legal obligation;
• To showcase creations for promotion ONLY in anonymised or first-name-and-city form, or with separate written parental consent — consent.

4.1 We do sell personal data to anyone.

5. AI Processing Disclosure

5.1 Prompts and images are processed by AI systems (including third-party AI service providers) to generate images and to evaluate submissions.

5.2 Evaluation is automated. Internal numerical scores are never published and are retained only for consistency, audit, and quality control.

6. Sharing of Data

6.1 We share personal data only with:

• Service providers necessary to run the Challenge: cloud hosting, AI processing, payment gateway, email delivery, and certificate generation.
• The student’s school, where the school itself registered the student (results/certificates may be shared with that school);
• Government authorities, courts, or regulators where required by law;
• A successor entity in the event of a merger, acquisition, or restructuring, subject to this Policy continuing to apply.

6.2 We never sell, rent, or trade personal data. Public displays (galleries, leaderboards, social media) use creations with first name and city only, unless the parent/guardian has given separate written/verbal/email consent for more.

7. Data Security

7.1 We use reasonable security safeguards appropriate to the nature of the data, including encryption in transit (HTTPS), access controls, role-based access for our team, secure cloud infrastructure, and logging.

8. Your Rights (Exercised by the Parent/Guardian)

8.1 Because participants are children, rights are exercised by the parent or legal guardian on the child’s behalf.

• Access a summary of the personal data we hold about your child.
• Request correction, completion, or updating of the data (e.g., certificate name spelling);
• Request erasure of the data (note: erasure of essential data before results are issued means withdrawal from the Challenge, without refund if the Challenge was already commenced);
• Withdraw consent at any time, with effect for future processing;
• Nominate a person to exercise these rights;
• Raise a grievance with us

8.2 To exercise any right, write to the Grievance Officer (Clause 10) from the registered email ID. We may verify your identity and relationship to the child before acting.

9. Third-Party Links & Services

9.1 The Platform may contain links to third-party sites (e.g., the payment gateway). Their privacy practices are governed by their own policies, and we are not responsible for them. We encourage Registering Adults to review those policies.

10. Grievance Contact

10.1 Email your grievance to: admin@takeoffprompt.ai We aim to acknowledge requests within 96 hours and resolve them within 30-45 working days.

11. Changes to This Policy

11.1 We may update this Policy from time to time. Material changes will be posted on the Platform with a revised “Last Updated” date, and where required, fresh consent will be sought. Continued use of the Platform after changes constitutes acceptance by the Registering Adult.

By registering for the Challenge, the Registering Adult confirms that they have read and understood this Privacy Policy, that they are the parent/legal guardian of the participating student or an authorised school representative holding parental consent, and that they consent to the processing of the student’s personal data as described above.
